Child Development Center Operations Clerk | Armed Services YMCA El Paso

The Tone:
This is an early career position at Armed Services YMCA El Paso, located in Virginia Beach, VA. The Armed Services YMCA is a dedicated non-profit organization that provides vital programs and services to military families, with a particular focus on childcare through its Child Development Centers. This role is crucial in ensuring the smooth and efficient daily administrative and operational functions of the CDC, directly supporting the care and development of children from military families by managing records, facilitating communication, and handling essential financial tasks.

• Mission: This person ensures accurate records, manages family liaison, and handles fees and supplies for the Child Development Center.

What You’ll Actually Do
• Record Management: Ensure all child registration, enrollment, and USDA food program records are complete, current, accurate, and readily available for audits and daily operations.
• Reporting and Compliance: Prepare necessary daily, weekly, and monthly reports in compliance with policies and procedures, submitting them in a timely manner to agencies like ASYMCA HQ, Child Care Licensing, DoD, Safety, Fire, and USDA, while researching and resolving any discrepancies.
• Family and Program Liaison: Provide comprehensive front desk coverage, logging children in and out, and serving as a point of contact to inform and answer questions regarding programs, services, financial obligations, waiting lists, events, and policies, also assisting with information dissemination to CDH providers.
• Financial Management: Collect all fees and charges, accurately record payments according to proper procedures, complete daily activity reports, and ensure the proper deposit of all collected funds.
• Supply and Resource Monitoring: Take responsibility for monitoring all necessary supplies and resources within the CDC, promptly notifying the supervisor of any items that need to be reordered to maintain continuous operations.

The Must-Haves
• Background: Entry-Level. High School Diploma or equivalent. Knowledge of administrative support functions, general office automation software, military Child Development Centers (CDC), and USDA Food Programs.
• Experience: Two (2) years of administrative experience. Working knowledge of computer keyboard and Child Care Management Systems, with ProCare preferred.
• Skills: Excellent customer service skills, ability to maintain accurate reports and records and military style documents, proficiency in reading, writing, and speaking the English language, ability to maintain a computerized database.
• Bonus: Fluency in Spanish is a plus. Must participate in continued professional development through enrollment in formal and informal educational courses related to early childhood education.
