Assistant Operations Manager | Hero Practice Services

The Tone:
This is a full-time role at Adventure Dental & Orthodontics, located in Baltimore, MD. Hero Practice Services, operating as Adventure Dental & Orthodontics, is dedicated to providing high-quality pediatric dental, vision, and orthodontic services to underserved children. This role is essential for managing front office operations and supporting human resource functions to ensure smooth practice flow and achieve both patient and organizational objectives. Your contribution will directly support the mission of delivering compassionate care to the community.

• Mission: Achieve patient and organizational goals by effectively managing front office processes and assisting with human resource functions.
• Tech Stack: ECW/Dolphin Database, Payroll, Intero Order processing systems, Google Docs, Document Portal Spreadsheet software, Word, Excel

What You’ll Actually Do
• Team Development: Cultivate a supportive practice environment that enhances teammate satisfaction and retention through skill development and growth encouragement.
• Operational Oversight: Manage and monitor all front office processes, including appointment scheduling, employee file management, insurance verification, and payroll submission.
• Patient Care Coordination: Ensure patients are processed efficiently, including timely teching and scribing, and assist the team as needed.
• Financial Administration: Create appropriate contracts and payment plans for private pay patients and prepare accurate patient insurance letters.
• Facility Maintenance: Maintain the practice’s cleanliness and presentability, ensuring a welcoming environment for all patients.

The Must-Haves
• Background: Demonstrated administrative management experience, ideally within an operational setting in a healthcare practice.
• Experience: At least one year of administrative experience, with the availability to work weekends.
• Skills: Strong interpersonal skills to listen to patient needs, a friendly and outgoing demeanor, and the ability to multitask effectively and complete tasks accurately and on time.
• Bonus: Preferred knowledge of dental practice operations and proficiency with ECW/Dolphin Database, Payroll, Intero Order processing systems, Google Docs, Document Portal Spreadsheet software, Word, and Excel.
