• Mission: Serve as the primary point of contact for all visitors and incoming calls, ensuring smooth initial interactions and efficient office communication.

What You’ll Actually Do
• Inbound Communication Management: Skillfully answer and accurately direct a high volume of incoming phone calls to the appropriate departments or individual staff members, ensuring callers receive prompt and helpful assistance.
• Front Desk Visitor Coordination: Professionally greet all visitors arriving at the front desk, manage their check-in process, and promptly notify the relevant personnel of their arrival, maintaining a welcoming and secure environment.
• Comprehensive Mail Handling: Efficiently manage the entire cycle of mail operations, which includes both the timely sending of outgoing company mail and the meticulous receipt and distribution of all incoming deliveries and correspondence.
• Internal Directory Administration: Proactively maintain and update the company’s internal phone lists, meticulously tracking any changes in personnel or contact information, and ensuring these updated lists are published and accessible as needed.
• Cross-Departmental Clerical Support: Provide essential administrative and clerical assistance across various departments within the organization, which may involve tasks such as data entry, filing, scheduling support, or other general office duties as assigned.

The Must-Haves
• Background: Requires a High School Diploma or General Education Degree, establishing a fundamental educational foundation suitable for entry-level professional roles. This position is ideally suited for individuals embarking on their career or those with limited prior work experience.
• Experience: Possesses 0 to 2 years of directly related work experience, demonstrating an initial understanding of administrative support, customer service, or office management functions.
• Skills: Exhibits strong verbal communication skills for effective interaction with diverse callers and visitors, coupled with excellent organizational abilities for managing multiple tasks like mail processing and directory maintenance, and a service-oriented approach to providing clerical assistance to various teams.
