Program Delivery Analyst | Schmidt Sciences

The Tone:
This is a full-time role at Schmidt Sciences, located in New York, NY. Schmidt Sciences is a nonprofit organization, founded in 2024, that accelerates scientific knowledge and breakthroughs to support a thriving planet through advanced tools in areas like AI, astrophysics, biosciences, and climate. This role is central to supporting the Bioscience Center’s operations, managing grants, assisting awardees, and ensuring the smooth delivery of new and existing scientific programs to optimize impact.

• Team: Reports to the Biosciences Manager of Program Delivery.
• Mission: Ensures efficient grants administration and operational support for bioscience programs and awardees to accelerate scientific knowledge and breakthroughs.
• Tech Stack: Salesforce, Zoom Webinars, Teams Live, Airtable, CMS

What You’ll Actually Do
• Grants Administration: Input and maintain accurate grants and gifts data, support due diligence, and assist with implementing internal processes during program launch, selection, and award phases.
• Operations Management: Help track and synthesize project data across Center initiatives, develop operational tools and templates, and maintain accurate awardee and reporting data in internal systems.
• Stakeholder & Awardee Engagement: Provide community management and support for awardees and science advisory board members, serving as the first point of contact for resolving administrative issues.
• Communication & Outreach Support: Coordinate program communications, arrange meetings, and work with the communications team to develop materials publicizing awardee accomplishments.
• Project Management: Oversee direct project expenditure tracking, ensure compliance with internal processes, and assist with general project management and scheduling for the Communications team.

The Must-Haves
• Background: A bachelor’s degree or equivalent from an accredited institution, suitable for an entry-level operational or program management role.
• Experience: 1–2 years in an operational, grants, or program management/delivery function, with proven capability of working with multiple teams to manage large awardee portfolios.
• Skills: Strong organizational and project coordination skills, ability to manage collaboration across multiple internal and external stakeholders, clear written and verbal communication, and a self-starter approach with ownership of tasks.
• Bonus: Familiarity with Salesforce, Airtable, virtual event platforms, or a background in life sciences, biosciences, or science policy.
