Finance and Administration Specialist | Jobgether

What You’ll Actually Do
• Contract Documentation: Maintain accurate contract-award documentation, including modifications, deliverables, funding records, and invoices, in accordance with government requirements and internal policies.
• Financial Operations: Support invoice preparation, perform accounts payable and receivable functions using QuickBooks Online and Rippling, and track payment statuses.
• Record Management: Maintain comprehensive accounting records, general ledger support, job-cost data, and labor allocations, ensuring all documentation is audit-ready.
• Payroll and HR Support: Reconcile timekeeping, payroll, and accounting records, support payroll activities including timecard reviews and employee changes, and coordinate employee onboarding and offboarding processes.
• Compliance and Administration: Organize and archive contract documentation, support customer portal administration, assist with proposal administration, and maintain accurate and confidential personnel and financial records.
The Must-Haves
• Background: Entry-level to mid-level professional with core domain knowledge in business financial records and U.S. government contracting.
• Experience: At least 1 year maintaining business financial records, with strong preference for experience in invoicing, accounts payable, accounts receivable, timekeeping, payroll support, or financial administration; and at least 2 years supporting U.S. government contracting in accounting, finance, HR administration, contract administration, or compliance. Required experience includes DCAA-compliant accounting or financial processes and understanding of audit-readiness requirements.
• Skills: Proficiency with QuickBooks Online, Rippling, Microsoft Office, and Google Workspace; strong attention to detail and organizational skills; excellent written and verbal communication skills; ability to work independently and exercise discretion with confidential information.
