WU is a nonprofit organization dedicated to its mission, supported by efficient daily operations. What You’ll Actually Do
• Calendar and Meeting Management: Manage and coordinate active calendars for the CEO and team, including scheduling and confirming meetings and appointments efficiently.
• Administrative Operations: Perform comprehensive general administrative duties, such as answering phones, managing incoming and outgoing emails, and ensuring smooth daily office functioning.
• Record Keeping and Data Management: Maintain organized records of all critical documents, reports, and meeting minutes, and assist with precise data entry, filing, and updating spreadsheets.
• Event and Material Preparation: Coordinate and prepare necessary materials for various meetings, workshops, and events, ensuring all participants have the required information.
• Office Resource Management: Monitor and maintain office supplies inventory, provide ad hoc support around the office as needed, and deliver exceptional customer service to visitors and stakeholders.
The Must-Haves
• Background: Entry-level position for individuals with a High School diploma or GED equivalent. A strong interest in office administration and the operations of a nonprofit organization is essential to thrive in this role.
• Experience: No prior experience is required; demonstrating a willingness to learn is key. Proficiency in Google Workspace tools is necessary to manage daily tasks effectively.
• Skills: Possess strong interpersonal, customer service, and communication skills to interact professionally with all stakeholders. Must also exhibit an ability to multitask, take initiative, and prioritize daily tasks efficiently.
• Bonus: Current enrollment in a higher education institution is preferred. Candidates who meet the UTSA RowdyCorps or Alamo Colleges District internship requirements may be eligible for payment from their respective schools.
