Job Description

Business Office Clerk at Imperial, a Villa Center

Imperial, a Villa Center, is seeking a dedicated Business Office Clerk to join their team. This role is crucial for maintaining the financial health of the facility, focusing on the timely collection of accounts receivable from various payor sources and ensuring accurate accounting records. The Business Office Clerk will play a direct role in managing census information, billing, and resident accounts receivable statements, working with both nursing facility and home office systems.

Business Office Clerk Duties and Responsibilities:

  • Complete Payer setup and changes for all residents.
  • Ensure that Medicaid applications are completed by coordinating with the Admissions Department and family.
  • Maintain comprehensive financial files on all residents.
  • Complete RFMS Authorizations for new Medicaid/Medicaid Pending Residents and open RFMS accounts if necessary.
  • Verify that the responsible party in PointClickCare has a complete address and phone number for statements and collection calls upon admission.
  • Prepare and Scan Deposits.
  • Update the Corporate Office on all Medicaid changes, including admissions, discharges, payer changes, and income changes.
  • Rerun Medicare and Medicaid eligibility monthly for all residents.
  • Make weekly collection calls to families for private pay, resident liabilities, and any other outstanding accounts.
  • Run Current Eligibility and Review for All Medicare Residents to ensure Coverage/Days.
  • Provide backup support to the Receptionist, including answering phones, giving tours, and explaining admission forms and agreements to residents and families.
  • Perform all other duties as assigned.

Business Office Clerk Qualifications and Skills:

  • Basic systems processing capabilities.
  • Proficiency in Microsoft Outlook, Excel, and Word.
  • Strong organizational and communication skills.
  • Ability to read, write, speak, and understand English.
  • Basic understanding of Medicare and Medicaid claims processing preferred.

Business Office Clerk Education and Experience:

  • High school diploma or equivalent, preferred.
  • Basic accounting or bookkeeping courses or experience, preferred.
  • Experience working in a skilled nursing facility, preferred.

Physical Requirements:

The role requires walking, reaching, bending, lifting, extended sitting, grasping, fine hand coordination, pushing and pulling, and the ability to distinguish smells and temperatures, all with or without the aid of mechanical devices.
