This role is crucial for maintaining the smooth and efficient daily operations of the office, supporting various administrative and logistical needs. The Administrative Intern directly contributes to the firm’s productivity by ensuring essential services and resources are consistently available and well-managed.

• Mission: Support the firm’s administrative backbone by managing mail, maintaining office resources, and assisting with client document processes, thereby ensuring efficient daily operations.
What You’ll Actually Do
• Mail Processing and Distribution: Efficiently manage all incoming and outgoing physical correspondence for the firm. This includes retrieving, sorting, and distributing mail from the mailroom, collecting outgoing mail from various offices, and accurately metering packages for dispatch.
• Off-site Deliveries and Collections: Take responsibility for external logistical tasks, which involve delivering mail and FedEx packages to designated drop boxes, and making necessary trips to the Post Office, FedEx stores, and UPS stores. This also extends to performing essential hand deliveries and pickups to and from clients as needed.
• Office Supply and Resource Maintenance: Oversee the systematic inventory of office supplies, ensuring adequate stock levels are maintained. This includes restocking the employee break room with necessary provisions and regularly checking and replenishing paper in all office copiers and printers to prevent interruptions.
• Production Area Organization and Support: Maintain the production room as a tidy and well-stocked environment, critical for various firm tasks. Additionally, accurately record all postage charged to clients, ensuring proper cost tracking and billing for administrative services.
• Administrative and Client Document Assistance: Provide direct support to the firm’s administrative functions, including assisting with the scanning and organization of client documents to maintain digital records. Furthermore, run various firm errands as needed, contributing to the overall operational flow of the office.

• Background: Entry-Level. Candidates must be currently enrolled in college and actively pursuing a degree, demonstrating a foundational commitment to academic and professional growth.
• Experience: No specific prior professional experience is explicitly required, as this role is designed to provide foundational experience within a regional accounting firm environment.
• Skills: Possess strong organizational skills for managing physical items and records, demonstrate meticulous attention to detail in tasks such as metering mail and tracking postage, exhibit reliability and punctuality for deliveries and errands, and have the ability to follow instructions precisely to ensure accuracy in all administrative duties.
