Key Responsibilities

The ideal candidate will excel in a fast-paced, collaborative team setting and demonstrate effective communication skills to achieve collective goals. This individual will work closely with accounting team members to support various critical business functions throughout the project lifecycle, including:

  • Providing comprehensive support to Project Accountants for both internal and external client business-related tasks.
  • Preparing and dispatching monthly invoices, which may necessitate compiling expense backups, detailed timesheet information, pay applications, or adherence to other client-specific invoicing requirements.
  • Collaborating closely with Project Accountants to proactively monitor and diligently follow up on unpaid invoices to effectively collect outstanding accounts receivable balances.
  • Working synergistically with accounting team members to ensure seamless support for all project lifecycle business functions.
  • Directly monitoring and collecting accounts receivable by engaging directly with clients.
  • Evaluating incoming payments meticulously to ensure accurate and proper cash application.
  • Processing accounts payable, overhead invoices, and check requests efficiently, while also responding promptly to vendor inquiries.
  • Maintaining accurate cash receipt backups.
  • Performing precise data entry directly into both internal and external accounting systems.
  • Reviewing client contracts thoroughly to ensure accurate and compliant project setup.
  • Managing electronic contracts and various other documents efficiently.
  • Assisting with various other general accounting support functions as required to maintain smooth departmental operations.

Qualifications

  • Education: High school diploma or equivalent.
  • Experience: 1+ years of relevant accounting experience or completion of pertinent accounting coursework.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Professionalism: Possesses a high degree of professionalism and strong interpersonal skills.
  • Teamwork: Demonstrated ability to be an excellent team player.
  • Adaptability: Ability to multi-task effectively and thrive in a deadline-driven environment.
  • Communication: Effective oral and written communication skills.
  • Preferred: Deltek CostPoint proficiency is a significant plus.
