Executive Assistant | Zuora
The Tone:
This is a full-time role at Zuora, located in Foster City, California. Zuora helps businesses grow smarter and adapt faster by powering modern business models like subscriptions and usage-based pricing. Their platform helps companies launch new products, automate complex billing, and unlock predictable, recurring revenue. This role is crucial for empowering a strategic executive, specifically the Chief Product Officer, to focus on high-level decision-making by ensuring all organizational details, communication, and scheduling are meticulously managed.

• Team: Reports to the Chief Product Officer within the Product Management team.
• Mission: To empower a strategic executive to focus exclusively on high-level decision-making and leadership by providing genuine organizational rigor through proactive problem-solving and full task ownership.

What You’ll Actually Do
• Proactive Support: Proactively anticipate the executive’s needs and take action accordingly, making judgment calls and escalating only with actionable items.
• Calendar & Inbox Management: Maintain the executive’s calendar as the definitive source of truth, strategically defending their time, ensuring all meetings have linked pre-reads, and autonomously managing inbox hygiene by filtering routine notifications.
• Complex Logistics: Manage complex, high-volume, constantly changing day-to-day priorities and schedules, organize all aspects of internal and external meetings across multiple time zones, and oversee domestic and international travel while applying executive preferences.
• Administrative Operations: Own various administrative processes including subscriptions, memberships, external speaking opportunities, procurement, shipping, accounts payable, expense reporting, and special projects such as presentation preparation and Zuora-wide initiatives.
• Stakeholder Communication: Establish and maintain rapport with internal and external stakeholders, including board members, customers, partners, and employees, while exhibiting the highest level of professionalism, courtesy, and diplomacy, and maintaining strict confidentiality.
The Must-Haves
• Background: Minimum of 5+ years of C-level administrative experience in a high-tech, SaaS company, operating in a fast-paced, always-changing environment.
• Experience: Expertise with Google Suite and virtual meeting tools (like Zoom), as well as expense reporting, travel management, and purchasing tools.
• Skills: Strong oral and written communication skills with the ability to communicate clearly and effectively with senior leaders and external partners; skillful execution of administrative activities with high attention to detail, organization, and process; ability to efficiently multitask, prioritize incoming requests, and manage conflicting priorities while remaining adaptable; strong relationship management skills; ability to work independently, self-start, and self-motivate while maintaining a teamwork mentality and collaborating effectively.
• Bonus: Energized by ambiguity and takes pride in closing loops without being asked twice, functioning as a proxy who reflects the executive’s voice and priorities accurately to all stakeholders.
