Staff Accountant | Shelter Youth & Family Services
The Tone:
This is a full-time Staff Accountant role at Shelter Youth & Family Services, located in Illinois with required frequent onsite presence. Shelter Youth & Family Services is a growing organization with a budget of $10M aiming for $15M, providing emergency housing, community-based services, and support for youth and families in crisis. This role is crucial for ensuring accurate, timely financial transaction processing across various functions, directly contributing to the mission of ending the cycle of abuse and neglect by providing safe, healthy, and stable lives for children and families.

• Team: Reports to Fractional Controller/Fiscal Manager, works closely with Director of Financial Operations and CFO
• Mission: Accurately process high-volume financial transactions across accounts payable, accounts receivable, foster-care payments, cash activity, and general ledger.
• Tech Stack: BILL, QuickBooks, Excel
What You’ll Actually Do
• Accounts Payable Management: Enter and code high volumes of accounts payable in BILL and QuickBooks, including vendor bills and expense items, then route them for approval.
• Foster Care Payments: Prepare weekly foster-care payment batches from program-approved registers, maintain supporting documentation, and submit for two-step approval and release.
• Accounts Receivable Operations: Execute accounts receivable and billing support, apply cash receipts, and prepare weekly A/R aging reports for collection follow-up.
• Reconciliation Preparation: Prepare bank and credit card reconciliations for approximately seven to eight accounts, promptly researching and resolving reconciling items.
• Month-End Support: Support the month-end close calendar by preparing and posting routine journal entries and assembling organized monthly support folders.
The Must-Haves
• Background: Associate’s or Bachelor’s degree in accounting, finance, or a related field; equivalent bookkeeping/accounting experience considered. Nonprofit accounting experience required.
• Experience: 3+ years of accounting or bookkeeping experience, including accounts payable and accounts receivable processing.
• Skills: Hands-on experience with QuickBooks and BILL, strong Excel skills, experience preparing bank and credit card reconciliations, and a working understanding of internal controls and separation of duties.
• Bonus: Familiarity with nonprofit fund accounting, Single Audit/SEFA support, or foster-care/grant-funded payment processing; multi-program environment experience.
