Office & Membership Manager | Greater Chamber of Harlingen

This is a full-time role at Greater Chamber of Harlingen, located in Harlingen, TX. The Chamber is dedicated to fostering a positive member experience, promoting programs and services, and supporting the growth and success of the local business community. This role is crucial for ensuring the efficient daily operations of the Chamber office and serves as the primary point of contact for members, prospective members, and visitors. The Office & Membership Manager plays a key role in advancing the Chamber’s mission by leading membership outreach, retention, and engagement efforts, directly impacting member satisfaction and community growth.

What You’ll Actually Do
• Office Operations: Efficiently manage the daily administrative functions of the Chamber office, including answering calls, greeting visitors, handling correspondence, and maintaining sensitive information with discretion.
• Board Support: Schedule and coordinate meetings for the Board of Directors, prepare agendas, record and distribute minutes, and manage a comprehensive calendar of events and communications for the Board.
• Membership Management: Oversee the Chamber’s membership lifecycle by accurately maintaining records in ChamberMaster and supporting spreadsheets, processing payments, monitoring renewals, and generating activity and forecasting reports.
• Member Engagement: Lead efforts to increase membership retention and engagement through proactive follow-up calls regarding benefits and renewals, conducting in-person visits to strengthen relationships, and organizing quarterly membership drives.
• Event Assistance: Provide essential support for Chamber events, programs, and initiatives, including assistance with setup, registration, attendee tracking, coordination, and follow-up activities to ensure successful execution.
The Must-Haves
• Background: Manager-level, requiring a high school diploma or equivalent, with previous experience in office administration, membership management, sales, or customer service.
• Experience: Demonstrated proficiency with Microsoft Office Suite (Excel, Word, Outlook) and Zoom is required, alongside experience that indicates strong organizational and communication capabilities.
• Skills: Exceptional organizational skills with keen attention to detail, excellent written, verbal, and interpersonal communication abilities, and the capacity to multitask, prioritize, problem-solve, and think critically, while working both independently and collaboratively.
• Bonus: Experience with Customer Relationship Management (CRM) or database systems is preferred.
