Assistant Operations Manager | Hero Practice Services
The Tone:
This is a full-time role at Adventure Dental & Orthodontics, located in Baltimore, MD. Adventure Dental & Orthodontics is a pediatric dental, vision, and orthodontic practice operating under Hero Practice Services. Hero Practice Services is dedicated to a crucial mission: helping underserved children access high-quality, compassionate dental, vision, and orthodontic services. As the Assistant Operations Manager, you will be a key contributor to this mission by effectively managing front office processes and assisting with human resource functions. Your work directly impacts patient experience and organizational efficiency, ensuring the practice can continue to deliver vital care to the community.

What You’ll Actually Do
• Team Development: Foster a positive community within the practice to enhance teammate satisfaction and retention. This involves developing strategies to achieve organizational goals, being available to staff, accepting feedback from others, developing subordinates’ skills, and encouraging professional growth.
• Operational Oversight: Schedule all patient appointments across various services and ensure the smooth execution of critical office processes. This includes managing employee files, verifying insurance benefits, overseeing timesheets, submitting payroll, and supervising front desk staff.
• Process Optimization: Drive continuous improvement in practice processes, products, and services through modern and creative thinking, seeking efficiencies and enhanced patient experience.
• Financial Administration: Create appropriate contracts and payment plans for private pay patients and accurately prepare essential patient insurance letters to facilitate billing and patient understanding.
• Practice Support: Ensure patients are teched and scribed in a timely manner, assisting the team when needed. Additionally, maintain the practice’s cleanliness and presentability for patients, including restrooms, the lobby, and general upkeep like mopping, vacuuming, and dusting.
The Must-Haves
• Background: This is a management-level role focused on operations within a pediatric dental, vision, and orthodontic practice.
• Experience: At least one year of demonstrated administrative experience.
• Skills: Ability to multitask and complete tasks correctly and on time; strong interpersonal skills, including listening to patients’ needs; friendly and outgoing demeanor; availability to work weekends.
• Bonus: Knowledge of ECW/Dolphin Database, Payroll, Intero Order processing systems, Google Docs, Document Portal Spreadsheet software, Word, and Excel.
