Patient Services Coordinator | New York Oncology Hematology

The Tone:
This is an early career role with New York Oncology Hematology, a practice dedicated to cutting-edge cancer care and advanced treatments across multiple locations in the Capital Region, NY. This position is vital for ensuring the efficient flow of patient services, from scheduling appointments to facilitating communication between patients and medical staff. • Team: Reports to a supervisor within the front office team.
• Mission: This role is critical for ensuring efficient patient scheduling and serving as a primary communication link between patients and medical staff.
• Tech Stack: Computer system, Electronic Medical Records (EMR), Microsoft Office (Outlook, Word, Excel)

What You’ll Actually Do
• Coordinate Scheduling: Efficiently schedule patient appointments, tests, and referrals, including outside scheduling and surgical procedures, while adhering to physician templates.
• Manage Patient Interactions: Greet patients and guests professionally, serve as a liaison between patients and medical staff, and clearly communicate essential appointment details and prep work.
• Process Patient Information: Verify patient demographics, manage incoming referrals, create patient accounts, obtain and accurately enter insurance information, and send out new patient packets.
• Administer Medical Records & Compliance: Initiate prior authorization requests, process EMR orders and chart messages, and strictly adhere to patient confidentiality, HIPAA, and clinic compliance standards.
• Optimize Clinic Operations: Answer and direct incoming calls and messages, manage patient bump lists and no-show reports, cancel/reschedule appointments due to physician changes, and provide coverage for other front office functions as needed.

The Must-Haves
• Background: Entry-Level. High school diploma or equivalent required.
• Experience: 0-3 years of experience, preferably in a medical office setting, with required proficiency in Microsoft Office (Outlook, Word, Excel).
• Skills: Excellent written and verbal communication skills, proficient computer literacy, and strong organizational capabilities.
• Bonus: Knowledge of medical terminology and coding.
