Special Event Coordinator | Friends of Baseball

The Tone:
This is a Special Event Coordinator internship at Friends of Baseball, located in Portland, OR, with a hybrid work model. Friends of Baseball is a Portland-based 501(c)(3) nonprofit, founded in 2005, dedicated to expanding access to youth baseball and softball through after-school programs, scholarships, coaching, and community events. This role is crucial for planning, organizing, and executing special events, community activities, and fundraising initiatives that directly support the organization’s mission to foster youth development and community engagement.

What You’ll Actually Do
• Lead Planning & Execution: Lead the planning, organizing, and execution of special events, community activities, and fundraising initiatives aligned with Friends of Baseball’s mission.
• Coordinate Logistics: Coordinate comprehensive event logistics, develop timelines, and manage vendor relationships to ensure smooth event operations.
• Manage Support Personnel: Support the full lifecycle of volunteer management, including recruitment, scheduling, communication, and appreciation for their contributions.
• Enhance Guest Experience: Help manage guest registration processes and provide excellent on-site customer service to ensure positive experiences for guests, families, and community partners.
• Event Administration & Reporting: Create necessary event materials, track attendance and feedback, maintain accurate event-related records, and support comprehensive post-event reporting in collaboration with staff.

The Must-Haves
• Background: Student or early career professional with an interest in youth development, sports, education, or community engagement.
• Experience: Proven ability or strong interest in Event Planning, including assisting with timelines, logistics, and day-of execution for events of various sizes. Demonstrated capabilities in Volunteer Management, covering recruitment, scheduling, and communication.
• Skills: Strong Communication skills, including clear writing, professional email etiquette, and confident interpersonal communication with diverse community members. Customer Service and Event Management skills, strong organizational skills with attention to detail, and basic proficiency in office and online collaboration tools like Google Workspace.
• Bonus: Familiarity with baseball or softball is a plus but not required, and a commitment to creating inclusive, equitable, and welcoming experiences for all participants and community members.
