JR. Client Intake/Contracts for Legal Sales

The United Firm | La Liga Defensora, APC is seeking a highly motivated and empathetic JR. Client Intake/Contracts for Legal Sales professional to join our dynamic team. In this pivotal role, you will be the initial point of contact for our Spanish-speaking clientele, providing crucial support in their legal journey. You will manage inbound service requests, including appointment setting, thorough case vetting, and addressing general inquiries. A key component of this role also involves the meticulous review and management of all signed contracts, encompassing retainer agreements and payment arrangements across all departments. Given our focus on representing the Spanish-speaking population, fluent bilingualism in Spanish (both written and verbal) is an absolute requirement.

Key Responsibilities:

  • Handle all inbound phone calls, efficiently setting appointments, and thoroughly screening prospective clients to ensure alignment with firm services.
  • Proactively track and monitor all potential new client inquiries received through various communication channels.
  • Assist with answering customer inquiries, adeptly routing them to the appropriate contact or department for specialized assistance.
  • Accurately log and maintain comprehensive client information within the designated software database system.
  • Provide essential administrative support to attorneys, particularly concerning the opening of new cases.
  • Conduct prospective client interviews with genuine empathy, compassion, and a professional demeanor, understanding their unique needs.
  • Meticulously review every signed contract, including all retainer and payment arrangements, ensuring accuracy and completeness.
  • Verify that all proper and necessary documentation is present for every contract.
  • Systematically file all contracts through an organized and efficient process.
  • Prepare detailed contract summaries and issue lists for attorney review, when applicable, to facilitate informed decision-making.
  • Coordinate effectively with other departments to ensure contracts are thoroughly reviewed, negotiated, and accurately scanned into the system.
  • Maintain and update the computer contract database, ensuring data integrity and accessibility.

Qualifications:

  • Bilingual proficiency (English/Spanish) with excellent written and verbal communication skills is mandatory.
  • At least 2 years of experience in an intake role, with legal field experience being preferred but not strictly required.
  • Experience with case management software is considered a significant advantage.
  • Demonstrated great interpersonal skills, coupled with patience and a proactive approach to problem-solving.
  • Proven ability to effectively manage multiple responsibilities and prioritize tasks in a demanding environment.
  • Possesses an excellent customer service attitude, capable of thriving in fast-paced environments.
  • Outstanding written and oral communication skills.
  • Good organizational skills with a strong ability to multitask efficiently.
