Payroll Specialist | Company

The Tone:

The Payroll Specialist directly contributes to employee satisfaction and the financial integrity of the organization.

What You’ll Actually Do
• Payroll Processing: Prepares and processes the weekly payroll cycle for all company payrolls, accurately accounting for deductions including withholding tax, social security, health insurance, life insurance, and any other required salary deductions.
• Compliance & Reporting: Assists with critical federal and state tax reporting requirements such as quarterly payroll reports, annual earnings statements (W-2’s), and withholding tax documentation, in addition to assisting with payroll tax reconciliations and ensuring full compliance with all union contracts.
• Accuracy & Verification: Meticulously reviews all payroll groups to ensure accuracy and proactively corrects any errors before final payroll processing, while also maintaining organized records of employee payroll deductions, benefits information, and periodic reports.
• Garnishments & Inquiries: Oversees all mandatory wage garnishments for employees, ensuring compliance and proper execution, and responds promptly and accurately to inquiries concerning wage garnishments and earnings verifications.
• Payroll Operations & Administration: Enters and maintains diverse employee payroll deductions, sets the calendar for district payrolls including pay dates and processing schedules, efficiently executes the printing and distribution of payroll checks, and calculates changes in contract amounts and processes payouts for accrued sick and vacation leave.

The Must-Haves
• Background: Possesses an Associate’s Degree in a related field, providing foundational knowledge essential for accurate and compliant payroll operations.
• Experience: Requires a minimum of one (1) year of related payroll experience, coupled with the ability to obtain the appropriate license pursuant to New York State Lottery regulations.
• Skills: Demonstrates an excellent math aptitude for precise calculations, proficiently reads and understands complex spreadsheets, exhibits excellent verbal and written communication for clear interactions, and possesses strong organizational skills to manage detailed payroll records and schedules.
• Bonus: Preference for candidates with experience utilizing the Ultimate Software payroll system, strong proficiency in Microsoft Excel, and familiarity with other Microsoft Office applications.
