Office Assistant | Liberate

The Tone:
This is a part-time Office Assistant role at Liberate, located in Boston, MA. Liberate builds insurance-native AI agents that handle customer interactions end-to-end across various channels and complete downstream work in core systems. As the System of Action for Insurance, Liberate focuses on real regulated conversations and workflows, emphasizing production depth over demos. This role is essential to maintaining a smooth, welcoming, and fun office environment, ensuring the space is always stocked, organized, and ready for daily operations.

• Mission: This person ensures the Boston office runs smoothly, is welcoming and organized, and provides essential administrative and operational support.

What You’ll Actually Do
Office Operations: Oversee the daily functionality of meeting rooms and common areas, including basic IT support for conference technology setups.
Office Experience: Create and maintain a positive, vibrant, and welcoming atmosphere for all employees, guests, and vendors in the office.
Inventory Management: Manage all office supplies and snack inventory, ensuring monitoring, timely ordering, stocking, and organization of storage areas.
Vendor Coordination: Act as the primary contact for various office vendors and service providers, coordinating deliveries, cleaning crews, and maintenance technicians.
Administrative Support: Provide essential administrative assistance, including preparing workspaces for new hires and supporting company events and activities.

The Must-Haves
Background: Entry-Level. A friendly, welcoming demeanor is essential, combined with excellent interpersonal and communication skills for interacting with employees, guests, and vendors.
Experience: Demonstrated ability to manage multiple small tasks and take initiative without close supervision. Requires immediate availability for an in-person role working Tuesday and Thursday (16 hours per week) within commutable distance to the Boston office. Punctuality and reliability are key for this role.
Skills: Comfortable troubleshooting basic conference room and IT setups. Strong organizational skills to keep common areas, conference rooms, and kitchens clean, stocked, and organized throughout the day.
Bonus: Prior experience in an office coordinator, front desk, or hospitality role. Experience helping plan events or team activities. Familiarity with office supply/inventory management tools.
