Ocean Import Coordinator | Pasona N A, Inc.

This is a part-time role at Pasona N A, Inc., located on-site in an office environment. The company is looking to expand its logistics operations team by adding a motivated and detail-oriented individual. This position is vital for managing the intricacies of international ocean imports, ensuring accurate documentation, compliance, and seamless coordination of shipments from start to finish. This role provides an opportunity to learn and grow within the field of international logistics.

• Mission: Coordinate ocean cargo imports, ensuring compliance, timely delivery, and effective communication with clients and agents.
• Tech Stack: Microsoft Office (Excel, Word, Outlook)
What You’ll Actually Do
• Documentation Management: Prepare and verify critical export documents, including Bills of Lading (BOL), commercial invoices, packing lists, and certificates of origin for all shipments.
• Shipment Coordination: Book cargo space with steamship lines, arrange inland transportation services (drayage) for container pickup, and schedule terminal deliveries.
• Regulatory Compliance: Ensure that all shipments consistently adhere to U.S. export laws, meticulously file AES (Automated Export System) records, and maintain current knowledge of international trade regulations like Incoterms.
• Communication & Tracking: Serve as the primary contact for clients and overseas agents, providing real-time tracking updates and proactively resolving any potential delays or issues that may arise during transit.
• Financial Processing: Manage all billing procedures, verify freight rates against established contracts, approve vendor invoices for payment, and handle cost accruals accurately.
The Must-Haves
• Background: This is an entry-level position that does not require prior logistics experience, as comprehensive training will be provided.
• Experience: Proficiency in Microsoft Office applications, including Excel, Word, and Outlook, is required for daily tasks.
• Skills: Strong attention to detail and exceptional organizational skills are mandatory. Candidates must have proficiency in English and business-level or higher Japanese language skills, along with excellent communication and interpersonal abilities. The ability to work efficiently within a team-oriented office environment is also essential.
