Legal Practice Assistant & Project Manager | Foster Garvey PC

The Tone:
This is a full-time position at Foster Garvey PC, based in our Seattle Office, with the opportunity for a hybrid work arrangement after an initial in-office period of 120 days. Foster Garvey PC is recognized as one of the Pacific Northwest’s leading law firms. This role is crucial for supporting attorneys within our nationally recognized Investment Management group, serving as a hybrid between high-level administrative support and operational/project management leadership. The successful candidate will play a central and visible role in optimizing workflows, tracking matters, overseeing billing, and enhancing processes for top investment management practitioners.

• Pay: $65000–$85000 yearly
• Team: Supports attorneys in the Investment Management group.
• Mission: To provide high-level administrative support and operational/project management leadership, optimizing workflows, matter tracking, billing oversight, and process optimization.
• Tech Stack: Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, document management systems, project tracking tools.

What You’ll Actually Do
• Project Oversight: Drive the lifecycle of deals and legal matters from initiation to closure, including running conflict checks, opening new client matters, proactive deadline management, and coordinating task assignments across active matters.
• Document & Client Control: Systematically manage document repositories, ensure all materials are filed according to firm protocols, retrieve precedent documents efficiently, and coordinate essential client communications and correspondence with opposing counsel.
• Financial Management: Rigorously review and edit 60-100 invoices monthly for accuracy and client compliance, coordinate billing processes with the Accounting team, provide status updates, and manage daily attorney time entries and expense reimbursements.
• Executive Administration: Provide comprehensive executive-level support, including meticulous management of attorney schedules and calendars, coordination of external meetings and conference calls, arrangement of travel, and tracking of Continuing Legal Education credits and bar memberships.
• Operational & Business Development Support: Collaborate broadly with firm departments like Accounting, Marketing, and Recruiting to ensure smooth workflows, contribute to client bid and RFP processes, support firm leadership with executive initiatives, and assist with team onboarding and internal events.

The Must-Haves
• Background: Bachelor’s Degree.
• Experience: Minimum of 3 years in an administrative role supporting upper management or senior professionals; prior experience in a law firm or professional services environment is strongly preferred.
• Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat; comfort with document management systems and project tracking tools; general knowledge of finance and corporate legal terminology.
• Bonus: Experience with budget oversight and process improvement; advanced knowledge of finance and corporate legal terminology; prior experience in corporate or investment management legal practice.
