This role is for an HR Intern at Agora Data, designed to support high-priority Human Resources projects. It offers a practical, hands-on experience in key HR areas such as compliance, documentation, and employee engagement. The intern will directly contribute to initiatives aimed at improving HR operations and enhancing the company culture.

The intern will work closely with a Senior HR Generalist, focusing on project-based work intended to have a measurable and lasting impact on the organization.

Key Responsibilities and Tasks:

Personnel File Digitization:
• Scan, organize, and securely upload existing paper personnel files into the company’s HRIS (Human Resources Information System).
• Apply correct file naming conventions to ensure consistency and ease of retrieval.
• Maintain a detailed tracking log of digitized files.
• Identify and flag incomplete files or missing documents for follow-up by the HR team.
• Ensure all digital files meet PPI (Personally Identifiable Information) and compliance requirements for data security and privacy.
Policies & Procedures – Handbook Update:
• Assist in reviewing and updating specific sections of the employee handbook to align with current company policies and procedures.
• Format content according to approved HR templates to maintain consistency across documents.
• Organize and store final, updated handbook documents in the designated HR policy library.
• Support version control by appropriately archiving older versions of the handbook to prevent confusion.
Employee Engagement – Primary Focus:
• Assist in planning and executing various engagement initiatives that reflect Agora’s culture and values. Examples include recognition programs, pulse surveys (short, frequent surveys to gauge employee sentiment), and team-building activities.
• Draft internal communications to effectively promote these engagement programs to employees.
• Track participation rates, collect feedback from employees, and summarize the results for HR leadership.
• Suggest improvements for future engagement initiatives based on insights derived from survey data or participation trends.
Event Support – Supplemental Focus:
• Help coordinate smaller company events, which may involve tasks like ordering supplies, communicating with vendors, and tracking RSVPs.
• Prepare necessary materials for events and assist with day-of event setup and logistics.

Additional Responsibilities:

• Support HR compliance audits, specifically relating to I-9 forms (employment eligibility verification), benefits documentation, and personnel records.
• Assist with general HR administrative tasks as assigned by the HR team.
• Maintain the utmost confidentiality of all employee and company-sensitive information.

Required Qualifications (“Are you A Fit?”):

• Currently pursuing a degree in Human Resources, Business Administration, or a related field.
• Possess strong attention to detail and excellent organizational skills.
• Demonstrate excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
• Ability to work independently with minimal supervision.
• A clear interest in building a career in Human Resources.

Physical Requirements:

• Ability to sit for long periods of time.
• Ability to stare at a computer screen for extended periods of time.
