About the Opportunity:
The HR Coordinator plays a critical and central role in supporting the organization’s human resources functions, ensuring seamless daily operations and fostering a positive employee experience. This position is comprehensive, encompassing the management of full-cycle recruitment, meticulous onboarding processes, benefits administration, precise payroll coordination, effective performance management, and diligent compliance tracking. As the primary administrator of HR processes within the HR management system (HRMS), the HR Coordinator is instrumental in maintaining accurate employee data and handling workflows efficiently, thereby directly contributing to a well-supported and highly efficient workforce.
Responsibilities:
- Support full-cycle recruitment, including creating and posting job advertisements, scheduling interviews, managing candidate communication, and tracking applicants within the HRMS.
- Coordinate comprehensive onboarding processes by preparing offer letters, compiling new hire paperwork, designing orientation schedules, and ensuring the timely completion of all pre-employment tasks.
- Serve as the primary point of contact for employee inquiries related to payroll, benefits, timekeeping, HR policies, and HR systems, escalating complex issues as necessary.
- Assist with bi-weekly payroll processing across multiple states, which involves updating employment changes, meticulously reviewing timecards, resolving any discrepancies, and collaborating effectively with external payroll providers.
- Act as the first point of contact for routine employee support and provide hands-on assistance with the HRMS, including guidance on timekeeping, system access, navigation, and troubleshooting.
- Coordinate and meticulously track various leave management programs, such as FMLA (Family and Medical Leave Act), ADA (Americans with Disabilities Act) accommodations, Workers’ Compensation claims, and other statutory or company-specific leaves.
- Manage comprehensive benefits administration, including new enrollments, processing changes, and providing robust support during the annual open enrollment process.
- Oversee employee performance management processes, including the creation and tracking of performance review forms within the HRMS.
- Monitor HR and payroll compliance diligently by tracking deadlines, coordinating internal and external audits, managing required filings, and maintaining thorough documentation; assist with compliance reporting and data requests.
- Maintain accurate, confidential employee records within the HRMS, ensuring data integrity and privacy.
- Coordinate the annual review, update, and distribution of the employee handbook in close collaboration with HR leadership.
- Assist with HR reporting and data tracking to support internal and external audits.
- Support learning and development initiatives, helping to organize and execute programs designed to promote employee growth and mentorship opportunities.
- Provide comprehensive administrative and project support for various HR initiatives, including employee engagement programs, process improvements, system updates, and compliance projects.
- Actively participate in process documentation and continuous improvement efforts, always maintaining strict confidentiality.
Requirements:
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
- Minimum of 3 years of progressive experience in an HR support or HR coordinator role.
- Demonstrated knowledge of recruitment, onboarding, benefits administration, payroll coordination, and general HR compliance functions.
- Proven experience with HR management systems (HRMS); direct experience with ADP Workforce Now is highly preferred.
- Exceptional organizational skills and meticulous attention to detail, coupled with the ability to effectively manage multiple priorities simultaneously.
- Excellent verbal and written communication skills, capable of interacting professionally at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Unwavering ability to handle confidential information professionally and discreetly.
Preferred Qualifications:
- Direct experience with ADP Workforce Now and Smartsheet.
- Possession of an HR certification such as SHRM-CP or PHR, or a demonstrated interest in obtaining such certification.
- Experience working specifically in a nonprofit association environment.
ADA Specifications:
- Must be able to perform essential duties satisfactorily with reasonable accommodation.
Travel Requirements:
- Periodic travel to organizational events, including the annual staff retreat.
Compensation Package & Benefits:
- Salary Range: $62,000 to $67,000 annually.
