Executive Assistant Intern | Deion

The Tone:
This is a contract-based internship at Deion, located in the Dallas-Fort Worth Metroplex with a hybrid work model. Deion is a pioneering company that provides a done-for-you, anti-AI-slop alternative to traditional design tools like Canva, specifically tailored for creating high-quality YouTube thumbnail designs. It is powered by its proprietary Semantic Design Engine, which automates the transformation of video titles into custom thumbnails. This Executive Assistant Intern role is crucial for providing essential administrative and operational support, ensuring smooth day-to-day logistics for the team, and proactively identifying opportunities to streamline and enhance company operations.

• Mission: This person will ensure seamless administrative and operational support for Deion, managing critical communications, orchestrating logistical details, and contributing to process improvements for enhanced efficiency.

What You’ll Actually Do
• Meeting & Calendar Coordination: Draft agendas, meticulously take notes, track follow-up tasks, and manage all scheduling links and calendar invites for key meetings and events.
• Communication Management: Filter, organize, and prioritize urgent messages within shared inboxes, alongside effectively managing all communications with vendors, customers, and various stakeholders.
• Logistics & Event Support: Coordinate travel arrangements, plan and schedule events, make necessary reservations and registrations, and attend in-person product marketing and sales events as required.
• Operational & Administrative Support: Track office supply inventory, coordinate outgoing shipments, research and present well-documented service provider options, and manage day-to-day operational logistics.
• Process Optimization & Confidentiality: Proactively identify opportunities to streamline and enhance operational processes, while rigorously maintaining strict confidentiality and privacy regarding all sensitive matters.

The Must-Haves
• Background: Undergraduate student with an aptitude for administrative and operational support.
• Experience: Prior experience in an administrative, campus leadership, or customer service role; demonstrated experience completing projects requiring high attention to detail.
• Skills: Fluent and professional English (speaking and writing), strong organizational skills, excellent communication (written, verbal, non-verbal), and proficiency with Google Workspace, Notion, and Slack.
• Bonus: High reliability, strong interpersonal and time management skills, aptitude for quick learning, and comfort operating in a lean entrepreneurial environment. Must demonstrate consistent reliability in routine tasks, resourcefulness in troubleshooting, effective modular thinking, emotional intelligence, and coachability.
