Job Overview: Dental Front Office Receptionist

Marin Community Clinics, established in 1972, is a comprehensive multi-clinic network offering integrated primary care, dental, behavioral, specialty, and referral services. As a Federally Qualified Health Center (FQHC), we annually serve almost 40,000 individuals in Marin County, consistently receiving national recognition from the Health Resources and Services Administrations (HRSA). We are seeking a dedicated Dental Front Office Receptionist to manage clerical and client services tasks, including greeting, registering, and processing scheduled and unscheduled clients in the reception area. A primary responsibility of this role is to ensure all clients feel welcome and supported.

Salary Range: USD $25.00/Hr. – USD $29.25/Hr.

Key Responsibilities

  • Client Welcome & Assistance: Greet and assist all clients in the waiting room, help with appointments, and proactively notify clients of expected wait times.
  • Professional Demeanor: Maintain a professional presence and provide accurate general clinic information.
  • Customer Service & Communication: Answer incoming calls, schedule appointments, route calls appropriately, and provide necessary information to callers.
  • Appointment Management: Confirm next-day appointments with clients, process cancellations, and facilitate reschedules. Process walk-in appointment requests according to established procedures.
  • Patient Follow-up: Call patients to schedule follow-up appointments or mail letters as requested by providers.
  • Information Provision: Provide alternative medical service information for new clients who cannot be accommodated due to scheduling constraints.
  • Internal Communication: Transfer calls to internal extensions, use overhead paging to locate staff, and page staff as needed.
  • EHR System Management (EPIC): Schedule and maintain appointments in the Electronic Health Records System (EPIC), including phone requests and during client discharge. Inform patients about payment obligations, required documents, and clinic policies.
  • Data Entry & Verification: Accurately enter and confirm billing and demographic data in EPIC during the check-in process, capturing vital demographic information and authorized signatures.
  • Financial Responsibilities: Verify arrival times, collect new patient private pay deposits, handle patient payments, and ensure accurate reconciliation of receipts and charges.
  • Administrative Support: Prepare charts and superbills for appointments in advance for both new and established clients. Maintain control of daily superbill copies and submit them to the supervisor for reconciliation with Master Superbill Control Sheets.
  • Facility Maintenance: Inform appropriate staff about repair or maintenance needs and maintain the patient waiting room in a clean and orderly condition.
  • Other Duties: Perform other projects/duties as assigned.

Qualifications

Education and Experience:

  • Required: High School Diploma or Equivalent (GED).
  • Preferred: Previous dental front office and/or clerical experience.
  • Preferred: Previous experience with the Electronic Health Records (EPIC) system.

Required Skills and Abilities:

  • Technical Proficiency: Immediate and advanced knowledge of computers and Windows environment. Basic knowledge of Microsoft Office products (Excel, Word, PowerPoint). Word processing skills at a minimum of 45 wpm.
  • Communication & Interpersonal: Demonstrated ability to communicate effectively and professionally. Excellent, professional interpersonal and telephone skills. Ability to represent the Clinic professionally to the public and within the organization.
  • Customer Service: Ability to demonstrate excellent customer service skills.
  • Organizational & Prioritization: Requires a high level of initiative, attention to detail, and the ability to follow through on assignments independently to completion. Demonstrated ability to handle multiple, competing, and varied tasks and manage the flow of work successfully. Ability to prioritize assignments/patients as needed.
  • Confidentiality: Ability to handle personnel issues with confidentiality, tact, and sensitivity.
  • Administrative Practices: Demonstrated ability to perform according to standard business practices, including postal and electronic mailing, faxing, and filing.
  • Language: Bilingual skills (any language) are a plus.

Physical Requirements and Working Conditions

  • Fulfill immunization and fit-for-duty regulatory requirements.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent use of mouse, keyboard, and headset.
  • Exposure to moderate to loud noise and intermittent interruptions.
  • Must be able to lift up to 15 pounds at times.
