Administrative Assistant | Boone Center for the Family

The Tone:
This is a full-time, regular position at the Pepperdine University Counseling Center, located on the Malibu Campus. The Center provides confidential mental health support for students, addressing a wide range of concerns. This role is crucial for creating a warm, welcoming, and harmonious environment for all who interact with the Center, ensuring students receive excellent customer service and timely access to care. As a Student Affairs staff member, this individual serves as a Christian role model, facilitating mental health support that strengthens students to maximize their education and pursue lives of purpose, service, and leadership.

The TL;DR
• Role: Full Time
• Type: Regular, Nonexempt, 40 hour per week
• Location: In-person, Malibu Campus
• Pay: $23.61 – $26.00 per hour
• Team: Student Affairs staff member, supporting the Center Director

What You’ll Actually Do
Client Support: Manage appointment scheduling for all clinicians, respond to client requests via phone, email, and in-person, and create and maintain confidential client files.
Office Operations: Coordinate daily office functions, including managing office supplies, handling general office filing, copying, faxing, mail, and correspondence, and maintaining a professional environment.
Information & Referrals: Independently answer standard questions regarding services, eligibility, intake procedures, and confidentiality, and refer individuals to appropriate internal and community resources.
Crisis Response: Respond to a variety of clinical situations and crises, securing counselor assistance when necessary, and serve on the Residential Emergency Response Team during emergencies.
Director Assistance: Support the Center Director by managing meeting logistics, assisting with data creation and maintenance, and completing external requests and deliverables.

The Must-Haves
Background: Bachelor’s degree with a genuine commitment to punctuality and maintaining an excellent attendance record, and personal faith in Jesus Christ, active church involvement, and support for the University’s Christian mission.
Experience: Three or more years of experience as an Administrative Assistant, preferably in a mental health or medical environment where confidential content is handled.
Skills: Excellent critical thinking, strong written and verbal communication, ability to organize and prioritize multiple and changing tasks, skillful utilization of resources, and appropriate handling of sensitive matters while maintaining confidentiality.
Bonus: Expertise with G Suite applications (Mail, Calendar, Drive, Documents), proficiency with Microsoft Office suite (Word, Excel, Powerpoint), and familiarity with PeopleSoft.
