The Tone:
This is an Administrative Assistant position at Levy Restaurants, a leading presence in the Food, Beverage, and Retail industry across over 200 entertainment, sports, and restaurant venues nationwide. This role is crucial for providing essential clerical functions and administrative support to Levy’s food service programs. The TL;DR
• Role: Administrative Assistant
• Pay: $15.00 hourly
• Mission: Provide essential clerical and administrative support to food service programs, ensuring smooth operations, accurate record-keeping, and efficient financial processing.

What You’ll Actually Do
• Communication & Support: Answer telephones and direct inquiries professionally, while fostering strong working relationships with co-workers, school personnel, administrators, and parents.
• Confidential Record Management: Maintain accurate and confidential personnel files, including assisting management with the preparation of sensitive employment and labor relations documents like proposed disciplinary notices.
• Financial Processing & Reconciliation: Process vendor invoices for payment, ensuring correct additions and verifying item prices against bid specifications for accuracy, and perform monthly vendor statement reconciliation.
• Daily & Weekly Data Entry: Enter weekly cash sales and meal counts using a computer, accurately complete and maintain records for students eligible for free and reduced-price lunches if applicable, and perform daily bank deposit reconciliation.
• Reporting & Operational Assistance: Prepare monthly state claim forms for reimbursement, assist in the preparation of end-of-month financial reports, and provide critical staffing support by finding replacements for short-notice call-outs.

The Must-Haves
• Background: An administrative professional responsible for comprehensive clerical functions and providing administrative support for food service programs. This includes maintaining strong working relationships with various stakeholders.
• Experience: Proven experience in managing confidential personnel information, processing financial documents (invoices, bank deposits, state claims), maintaining accurate records (e.g., free/reduced lunch eligibility), and assisting with operational staffing needs.
• Skills: Professional client-centric communication and inquiry direction, meticulous attention to detail for financial and record accuracy, strong organizational abilities, and proficiency in computer-based data entry and document preparation.
