Role Overview
We are seeking a dedicated and organized Administrative Assistant to join our team in a full-time, on-site capacity within the Greater Minneapolis-St. Paul Area. This role is crucial in ensuring the smooth day-to-day operations of The Saint Paul Seminary, providing essential support to executive staff and contributing directly to our mission.
Key Responsibilities
- Provide comprehensive administrative support by managing a variety of clerical duties.
- Serve as a primary point of contact, handling phone and email communication with professionalism and efficiency.
- Maintain impeccable office organization, ensuring a productive and welcoming environment.
- Proactively assist executive staff with various tasks and projects as needed.
- Manage scheduling and calendar coordination, arranging appointments and meetings effectively.
- Prepare, format, and review important documents and correspondence.
- Contribute to the overall efficiency and effectiveness of the seminary’s operations, facilitating its mission and goals.
Qualifications
- Demonstrated experience in Administrative Assistance and strong proficiency in Clerical Skills.
- Exceptional Phone Etiquette and outstanding professional Communication skills, both written and verbal.
- Knowledge or previous experience in Executive Administrative Assistance is a significant advantage.
- Possess excellent organizational abilities and a keen attention to detail.
- Proficiency in standard office software tools, including the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work effectively and collaboratively within an on-site team environment.
- Familiarity with Catholic traditions and institutions is a plus, demonstrating an understanding of our unique environment.
- High school diploma or equivalent is required; additional certifications in office administration are advantageous.
