Accounts Receivable Specialist | University at Buffalo Campus Dining & Shops

The Tone:
This is a full-time, non-exempt role at University at Buffalo Campus Dining & Shops, located in Buffalo, NY. Campus Dining & Shops provides essential dining and retail services to the university community. This position plays a critical role in ensuring the financial health of the organization by meticulously managing incoming payments, processing invoices, and maintaining accurate financial records for accounts receivable.

• Team: Reports to the Accounting Manager within the Accounting Department
• Mission: Owns the accurate and timely processing of incoming payments and maintenance of accounts receivable records to support the university’s dining and retail operations.
• Tech Stack: MS Office, accounting software (Sage Intacct preferred)

What You’ll Actually Do
• Invoicing: Generate and dispatch invoices to customers, including specialized billing for university departments such as vouchers, summer groups, and Inter Departmental Invoices.
• Collections: Follow up on, collect, and accurately allocate incoming payments, monitoring customer account details for non-payments, delayed payments, or other irregularities.
• Record Keeping: Maintain organized accounts receivable customer files and records, researching and resolving any payment discrepancies.
• Reporting: Prepare and distribute monthly customer statements, along with comprehensive monthly, quarterly, and annual reports on receivables, and assist with special projects.
• Payroll Support: Compile weekly gratuity information accurately for payroll processing.

The Must-Haves
• Background: Early-Level. An Associate’s degree in accounting, Business, or a related field is preferred.
• Experience: Proven working experience as an Accounts Receivable Specialist or in a similar accounting role.
• Skills: Proficiency in MS Office and accounting software, high degree of accuracy and attention to detail, excellent communication, organizational, customer service, interpersonal, mathematical, and analytical skills, and the ability to work both independently and as part of a team.
• Bonus: General Ledger experience and familiarity with Sage Intacct software.
