About the Job: Accounts Payable Specialist

Singleton Schreiber, LLP, a San Diego-based firm, is seeking an Accounts Payable Specialist to join its team. This is a hybrid position, requiring a presence in San Diego.

The successful candidate will be instrumental in supporting core accounting functions, with a particular focus on accurate invoice allocation and payment processing within the accounts payable and credit card management systems. This role demands exceptional attention to detail, strong analytical capabilities, and a comprehensive understanding of accounts payable procedures.

Salary

The salary for this position is $27.00-$30.00 per hour.

Job Duties

  • Code invoices, check requests, and expense reports using the correct General Ledger (GL) codes, adhering to firm policies and accounting procedures.
  • Prepare and process weekly check runs and/or electronic payments.
  • Enter, update, and maintain vendor and invoice information accurately in the accounting system.
  • Maintain organized electronic records of invoices, payments, and supporting documentation within the firm’s digital filing system.
  • Ensure all invoices are processed and paid accurately and on schedule, strictly following departmental procedures.
  • Monitor and manage the Accounting inbox, routing invoices for proper approval and conducting necessary follow-ups.
  • Review and break out large allocation invoices, ensuring expenses are precisely distributed across appropriate accounts, departments, or matters.
  • Assist with month-end and quarter-end accounting activities, specifically related to invoice allocations and credit card transactions.
  • Serve as a primary point of contact for internal staff and external vendors to resolve payment inquiries and account discrepancies.
  • Perform other accounting duties as assigned to support overall team operations.

Qualifications and Requirements

  • Strong organizational skills and proven ability to accurately track and record cash flow.
  • Experience in maintaining financial databases and adeptness at identifying and resolving issues in a timely and flexible manner.
  • 2+ years of accounts payable or general accounting experience.
  • Proficiency with Microsoft Office Suite (Excel, Word, and Outlook) and QuickBooks.
  • Ability to effectively manage multiple tasks simultaneously in a high-volume environment.
  • Excellent attention to detail, organizational skills, and follow-through.
  • Strong communication skills combined with a customer-service mindset.
  • Ability to handle sensitive financial information with the utmost discretion.
  • Ability to work independently and meet deadlines.
  • Degree in Finance, Economics, Business, or Accounting (preferred).
