This is an administrative role at Shaner Hotels, located in Huntington, WV. Shaner Hotels is one of the hospitality industry’s leading award-winning hotel owner-operators and management companies, managing over 70 properties across 14 states and three countries. This role is essential for supporting both the financial and sales departments at the DoubleTree by Hilton Huntington, ensuring accurate records, smooth administrative processes, and excellent service. The position plays a direct part in maintaining operational efficiency and guest satisfaction through meticulous clerical and problem-solving efforts.

• Mission: This person solves administrative and clerical challenges for the financial and sales teams by performing basic office tasks, updating records, organizing documents, researching, and resolving discrepancies.

What You’ll Actually Do
• Accounting Operations: Manages and reconciles financial records, invoices, and vendor statements, ensuring accuracy and timely reporting.
• Guest & Group Billing: Verifies deposits, processes credit card charges for upcoming groups, and assists guests with billing inquiries and documentation.
• Sales Coordination: Fields all incoming sales calls, handles rooming lists, and manages final Banquet Order Billings.
• Financial Problem Solving: Researches, tracks, and resolves accounting or documentation problems and discrepancies.
• Administrative Support: Facilitates on-site drug tests and schedules interviews for the Human Resources/Account Manager.
The Must-Haves
• Background: Entry-Level. High school graduate with some college, preferably accounting-based, coupled with knowledge of all accounting principles and procedures.
• Experience: Proficiency in relevant computer software and familiarity with property management systems is required.
• Skills: Demonstrated problem analysis and problem-solving abilities, the capacity to compute mathematical calculations, and effective communication skills with guests, management, and co-workers.
