Finance & Payroll Assistant | The Waldwin Group

The Tone:
This is an in-person role at The Waldwin Group, located in Boston. In this role, you will be an integral part of the centralized corporate oversight, contributing to the finance and payroll functions essential for achieving short-term and long-term business goals and ensuring structural compliance and process adherence. Your work directly supports the operational success of the organization by maintaining financial accuracy and efficient payroll management.

• Team: Integral part of corporate finance and payroll functions; partners directly with the payroll team and provides reports to the Leadership Team.
• Mission: Ensures accurate and compliant payroll processing, manages accounts payable, and provides essential financial administrative support crucial for the organization’s operational stability and goal achievement.
• Tech Stack: Paylocity, QuickBooks, CrunchTime, Oracle, R&A, POS Administration.

What You’ll Actually Do
• Payroll Operations: Oversee the verification of employee hours, deductions, and adjustments, ensuring the overall accuracy of weekly payroll processing in partnership with the payroll team.
• Transaction Processing: Execute critical payroll-related transactions, including processing returned pay, managing garnishments, administering vacation payouts, and handling employee terminations.
• Accounts Payable Management: Administer the entire Accounts Payable cycle, which involves accurately entering vendor invoices, efficiently processing payments, and diligently maintaining AP aging reports.
• Financial Support: Contribute to month-end financial reconciliation processes by meticulously reviewing daily cash and sales reports, and provide essential administrative and financial reports to the Leadership Team.
• System Enhancement: Drive the effective utilization and continuous improvement of various business systems, including Paylocity, QuickBooks, CrunchTime, Oracle, R&A, and POS Administration, for enhanced efficiency.

The Must-Haves
• Background: Early Career professional with foundational knowledge in accounting, finance, or business principles. Equivalent work experience is considered alongside or in lieu of a degree.
• Experience: A minimum of two years of hands-on experience in payroll administration, accounts payable, or general accounting support functions.
• Skills: Demonstrated proficiency in QuickBooks or comparable accounting systems; strong command of Microsoft Excel for data analysis; exceptional attention to detail; proven ability to manage confidential information with discretion; excellent organizational and time management skills to prioritize deadlines in a dynamic environment; and a capacity to quickly learn new technologies and automation tools.
• Bonus: A Bachelor’s Degree in Accounting, Finance, or Business is preferred. Experience utilizing Paylocity or another comparable HRIS/payroll platform is a distinct advantage.
