Operations Coordinator | Beach Boutique Rentals

The Tone:
This is a full-time role at Beach Boutique Rentals, located in Anna Maria Island, Florida. Beach Boutique Rentals is a locally owned vacation rental management company focused on delivering exceptional guest experiences and safeguarding homeowner investments. This role is crucial for coordinating the daily operations of the company’s growing portfolio, ensuring all properties are guest-ready and operational logistics run smoothly. The Operations Coordinator plays an important part in maintaining high standards and delivering outstanding service to both guests and homeowners.

• Team: Works closely with the Operations Manager, Guest Experience Coordinator, maintenance staff, vendors, and homeowners.
• Mission: Coordinate daily vacation rental operations, including maintenance and vendor scheduling, to ensure properties are guest-ready and service standards are met.
• Tech Stack: Breezeway, OwnerRez, Microsoft Office, Google Workspace

What You’ll Actually Do
• Property Operations: Manage and prioritize daily operational tasks, coordinate maintenance requests, monitor property readiness, and track work orders from start to completion.
• Homeowner Communication: Communicate with homeowners regarding operational updates, coordinate approved repairs and projects, and notify them of potential additional costs for services.
• Vendor Coordination: Schedule vendors and contractors, coordinate property access, follow up on estimates and completed work, and maintain accurate documentation.
• Inventory & Logistics: Order operational supplies and guest amenities, coordinate deliveries, and assist with inventory replenishment and operational organization.
• Quality & Process Improvement: Maintain operational records, monitor recurring maintenance and guest issues, assist with improving company procedures, and support quality assurance initiatives.

The Must-Haves
• Background: Entry-Level. Core domain knowledge in vacation rental operations, front desk, guest services, or hospitality. A basic understanding of residential maintenance and vendor coordination is beneficial.
• Experience: 1–3 years of experience in the vacation rental industry, front desk, guest services, hospitality, administrative, operations, or property management.
• Skills: Highly organized, detail-oriented, strong communicator with excellent phone and email etiquette, able to manage multiple priorities, self-motivated, proactive, comfortable making decisions, problem-solver, dependable, team-oriented, and willing to learn. Weekend availability and participation in an after-hours on-call rotation are required.
• Bonus: Experience with Breezeway, OwnerRez, or other property management software. Proficiency with Microsoft Office and Google Workspace.
