Purchasing Assistant | ACO USA
The Tone:
This is an in-person position at ACO USA. ACO USA is seeking a Purchasing Assistant to support its procurement function. This role is crucial for ensuring efficient purchase order development, vendor coordination, and accurate maintenance of item information, contributing to the overall effectiveness of the procurement process. This position supports the general procurement process and is vital for maintaining organized purchasing records and vendor relationships.

• Mission: This person supports the procurement process by managing purchase orders, vendor relationships, and item data accuracy.
• Tech Stack: Accounting software, contact management systems, inventory software, orders processing systems, spreadsheet software, word processing software, Microsoft Office 365 Suite
What You’ll Actually Do
• PO Management: Create purchase orders in the accounting software and manage their status, ensuring they remain current.
• Vendor Development: Research vendors to build comprehensive profiles, including lead times, freight, and payment terms, and establish a vendor rating system.
• Invoice Reconciliation: Match receiving reports with supplier invoices, resolve any discrepancies, and forward them for payment.
• Delivery Expediting: Interface with suppliers to expedite delivery dates and update delivery schedules in the computer system daily.
• Process Optimization: Identify opportunities to improve supplier pricing, product quality, or delivery terms.
The Must-Haves
• Background: One-year certificate from a college or technical school.
• Experience: Three to six months of related experience and/or training, or an equivalent combination of education and experience.
• Skills: Proficient with Microsoft Office 365 Suite and knowledge of accounting, contact management, inventory, and order processing software. Ability to perform mathematical calculations including rates, ratios, percentages, dimensions, weights, and currency conversions. Strong communication, interpersonal, planning, and organizing skills, along with a focus on accuracy and quality.
• Bonus: Ability to read Drawings helpful.
