Data Administrative Assistant | Peninsula Family Service
The Tone:
This is a part-time, non-exempt administrative position at Peninsula Family Service, located in San Mateo, CA at the Fair Oaks site. Peninsula Family Service is a non-profit organization with over 75 years of history, dedicated to fostering stability, resilience, and well-being. It provides crucial support and tools to children, families, and older adults, encompassing infant, toddler, and preschool programs, financial empowerment, employment, and older adult services. This role is vital in ensuring the accuracy and completeness of all data related to Older Adult Services, including Peer Counseling and Financial Empowerment programs, enabling the organization to fulfill its mission and meet reporting requirements effectively.

• Mission: Ensures accurate, complete, and audit-ready participant, service, and outcomes data for Older Adult Services programs.
• Tech Stack: ETO (Efforts to Outcomes), MS Word, MS Excel
What You’ll Actually Do
• Data Quality Lead: Lead data clean-up and quality-control efforts across Older Adult Services program databases, identifying and correcting incomplete, duplicate, or outdated records.
• Data Management: Enter and maintain participant, service, and outcomes data for Peer Counseling and Financial Empowerment programs in ETO or successor database.
• Reporting Support: Collect, compile, monitor data, and prepare monthly, quarterly, and final funder reports for Financial Empowerment programming.
• Program Coordination: Schedule and set up trainings and in-services, coordinate Peer Counseling training, and maintain participant files for Older Adult Services.
• Communications & Marketing: Support the development of newsletters/calendars and create basic artwork for posters, flyers, and signage promoting programs and events.
The Must-Haves
• Background: Entry-Level. Candidates must have a high school graduate/GED education.
• Experience: Two years of administrative office experience is required, with a strong preference for candidates who have prior experience in data clean-up or database management.
• Skills: Requires strong computer proficiency in email, MS Word, MS Excel, and database management systems. Candidates should possess an excellent understanding of modern databases, common statistical software, and a basic understanding of query language. Additionally, strong organizational skills, excellent attention to data accuracy and detail, and clear verbal and written communication abilities are essential.
• Bonus: Prior experience supporting older adult services or peer counseling programs is preferred. Bilingual fluency in Spanish or another language commonly spoken by program participants is also highly valued.
