Enrollment Clerk | Centerstone

The Tone:
This is a full-time role at Centerstone, a leading nonprofit behavioral health system with thousands of dedicated employees. Centerstone delivers care that changes people’s lives across all ages in a variety of settings. This position plays a crucial part in ensuring clients are properly enrolled, fees are collected, and funding authorizations are accurately tracked. The work directly impacts the agency’s revenue and its ability to provide essential behavioral health services.

• Team: Reports to the Accounts Receivable Department Manager.
• Mission: This role ensures accurate client enrollment, fee collection, and authorization tracking to secure appropriate funding for behavioral health services.

What You’ll Actually Do
• Client Enrollment: Interview and welcome clients to the agency, securing and scanning documentation for income validation and insurance, completing all enrollment paperwork, and clearly explaining fees, privacy practices, and client expectations.
• Financial Management: Collect all client fees, render receipts, meticulously follow up on unpaid private pay balances, and prepare and reconcile daily bank deposits, ensuring all transactions balance to the journal.
• Authorization & Funding: Verify insurance, determine Medicare/Medicaid eligibility, complete enrollment requests on state/federal websites, and track authorizations to ensure proper funding and correct billing setup for all scheduled appointments.
• Administrative Support: Provide outstanding customer service by answering phones, managing inquiries, transferring calls, scheduling/rescheduling appointments, facilitating client check-ins, and coordinating the check-out of various agency resources and equipment.
• Records & Data Management: Accurately add or update client master information to reflect changes in funding and authorizations, prepare invoices for medical record requests, track their payment status, and process client link cards.

The Must-Haves
• Background: Entry-Level. Must possess a high school diploma or G.E.D. equivalent, with foundational knowledge in AR/billing and record-keeping practices.
• Experience: A minimum of one year of experience in AR/billing and record-keeping, a data entry speed of 1000 keystrokes/5 minutes, and prior experience working with the public.
• Skills: Proficiency in computer operation and data input, strong mathematical abilities, comprehensive knowledge of general office practices including typing, spelling, grammar, and telephone etiquette, coupled with excellent organizational and time management skills.
• Bonus: Accounting, business, and/or computer courses are considered helpful for this position.
