IP Patent Paralegal | FBT Gibbons
The Tone:
This is a full-time role at FBT Gibbons, located in Cincinnati, OH; Columbus, OH; Indianapolis, IN; Nashville, TN; or Washington, DC. FBT Gibbons is a national law firm with nearly 1,500 employees across 26 offices, focused on serving companies operating and investing in the middle market, from large multinationals to mid-sized businesses and growth-oriented startups. This role supports attorneys on sophisticated patent prosecution matters, contributing to the firm’s client service and collaborative team environment.

• Pay: For applicants physically based in Washington, D.C., a reasonable estimate of the current range is $52.00 – $62.00 hourly.
• Team: Collaborative Intellectual Property team
• Mission: Ensure compliance with filing requirements and regulations for patent applications, and manage related documentation and communication for the firm’s clients.
• Tech Stack: USPTO, WIPO, PCT, NetDocuments, CPi Docketing software, PracticeLink (plus), Microsoft Office (Word, Excel, Teams, Outlook)
What You’ll Actually Do
• Document Filing: Prepare and file legal documents electronically with the USPTO and international patent offices (e.g., WIPO) for PCT and national entry patent applications.
• International Correspondence: Correspond with foreign counsel and, under attorney guidance, provide instructions for international applications, registrations, and other necessary documentation to ensure compliance.
• Information Disclosure Statements: Prepare and file Information Disclosure Statements, including managing review of patent families, preparing formal documents, and submitting foreign and non-patent literature references.
• Client & Attorney Communication: Communicate directly with clients and attorneys regarding patent matters, including notifying of due dates, obtaining required signatures and documentation, and providing updates.
• Record Keeping & Proofreading: Follow IP Practice Group’s procedures and record-keeping policies using NetDocuments, utilize CPi Docketing software, and proofread documents prepared by attorneys.
The Must-Haves
• Background: Associates degree or Bachelor’s degree with a major in paralegal studies, OR a Bachelor’s degree with an unrelated major combined with a certificate from an ABA approved paralegal training program specializing in the area, or two years’ experience in the specialization, or unique qualifications.
• Experience: Minimum of 3 years of Patent Intellectual Property Paralegal experience. Prior experience with docketing software is required.
• Skills: Accuracy, attention to detail, and thoroughness; Strong organizational skills with the ability to prioritize and manage multiple deadlines; Ability to work both collaboratively and independently; Proficient with Microsoft Office (Word, Excel, Teams, Outlook); Excellent client service skills; Clear, well-organized, and professional communication (verbal and written).
• Bonus: Experience working in CPI and PracticeLink.
