Administrative Assistant – Development | Diversity In Higher Education

The Tone:
This is a part-time administrative role at Diversity In Higher Education, located in Blountville, TN. This position is crucial for supporting the daily operations of the Development office and serving as its primary point of contact. The Administrative Assistant will ensure smooth financial and logistical processes, manage event support, and maintain vital donor information to further the Foundation’s strategic priorities.

• Mission: Supports the Development office by managing daily operations, finances, and logistics to advance the Foundation’s fundraising mission.
• Tech Stack: Microsoft Office (Excel, Word, Outlook), CRM systems, videoconferencing software, digital records management systems, general operating systems, data information systems

What You’ll Actually Do
• Administrative Coordination: Prepare correspondence, agendas, board and committee meeting materials, and minutes, while scheduling meetings, maintaining calendars, and coordinating logistics.
• Donor Data Management: Accurately enter gifts, pledges, sponsorships, and contributions into the CRM according to institutional and foundation policy.
• Reporting & Compliance: Assist with routine CRM report pulls for stewardship, create weekly and monthly donor tracking reports, and assemble audit, compliance, and reporting documentation.
• Event Logistics: Provide day-of logistical support for development events, including registration, materials, setup, and vendor/catering coordination.
• Financial Operations: Prepare purchase requisitions, invoices, travel authorizations, and supply requests, tracking expenditures, reporting budget variances, and reconciling budgets monthly.

The Must-Haves
• Background: This role requires an Associate’s degree from an accredited institution or a High School Diploma, providing foundational knowledge for administrative support.
• Experience: Candidates need one year of administrative support experience with an Associate’s degree, OR two years of administrative support experience with a High School Diploma. Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook, is also essential.
• Skills: Excellent organizational and administrative skills, strong attention to detail and accuracy, ability to maintain confidentiality, strong customer service and interpersonal skills, excellent written and verbal communication, ability to work independently and as part of a team, ability to manage multiple projects and deadlines, strong problem-solving and follow-up skills, and ability to interact professionally with diverse stakeholders.
• Bonus: Experience working in higher education, supporting executive leadership, boards, or committees, or working with donor databases and CRM systems is preferred. Conversational ability or fluency in a language other than English is also a plus.
