Administrative Assistant | Mounds View Public Schools

What You’ll Actually Do
Front Office Management: Perform comprehensive clerical duties including drafting and typing correspondence, managing phone calls and mail, operating office equipment, filing documents, and creating school publications, while acting as the primary point of contact for greeting and assisting all students, staff, parents, and visitors.
Data and Record Administration: Maintain and continuously update critical computer-based records such as scholarship offerings, school calendars, course information, course offerings, parking permits, and extensive student data, ensuring accuracy and accessibility.
Student Support and Communication: Monitor, accurately record, and efficiently disseminate essential student record information covering attendance data, report cards, class registration, school resources, testing, class lists, and student directories, including verifying absences with parents and distributing educational materials like homework assignments.
Logistics and Resource Coordination: Manage various schedules for keys, lockers, rooms, and equipment, oversee supply inventory by ordering, checking in, and restocking, track budget charges and accounts, potentially manage a petty cash fund, and coordinate special projects such as field trips and student registration.
Personnel and Administrative Assistance: Facilitate HR-related tasks by processing employment forms, securing substitute teachers for emergencies, providing training on the substitute calling system, and accurately verifying and processing employee time cards.

The Must-Haves
• Background: High school graduate or equivalent.
• Experience: One to three years of experience in an office capacity, coupled with proficiency in computers and related software/hardware.
• Skills: Excellent human relations skills, clear and concise oral and written communication, ability to read and interpret documents, skill in writing reports and correspondence, ability to calculate figures and apply concepts of basic algebra, and the capacity to apply common sense understanding to instructions while performing duties with awareness of district requirements and Board of Education policies.
