Legal Practice Assistant | FBT Gibbons

The Tone:

This Legal Practice Assistant role is crucial for supporting attorneys and other timekeepers by handling complex and specialized legal duties that require a strong grasp of legal terminology and processes. The firm seeks a highly organized and detail-oriented professional who can collaborate effectively to deliver excellent service to clients and colleagues.

• Mission: Provide essential legal and administrative support to attorneys and other timekeepers to ensure efficient practice operations and client service.

What You’ll Actually Do
• Document Management: Prepare, revise, and format legal documents and correspondence using various software applications, meticulously proofreading for content, spelling, grammar, and punctuation before saving in final form.
• Administrative Support: Manage diverse administrative tasks including processing and distributing mail, preparing audit letter responses, completing expense reports, preparing check requests, and reviewing client invoices and billing statements.
• Court Filings & Liaisons: Prepare documents and applicable fees for electronic filings, e-file with federal and state courts and other agencies as instructed, and liaise with courts as necessary.
• Calendar & Client Coordination: Maintain and manage timekeepers’ calendars, diligently tracking court docket deadlines, conferences, and depositions, while also supporting client development activities and providing direct client assistance.
• Firm Operations Support: Oversee the business intake process, conduct adversary searches, draft screening memos, prepare engagement letters, open new client files, and manage logistical arrangements for internal and external meetings and travel.

The Must-Haves
• Background: High school diploma or equivalent, with a strong understanding of legal terminology and processes required for complex and specialized legal duties.
• Experience: Minimum of three or more years of litigation experience, specifically required for state and federal court filing (Lexis, PACER) and demonstrating experience with eFLEX (Delaware CCP).
• Skills: Highly proficient in Microsoft Office software programs, capable of learning and applying practice group and firm-specific software, and adept at organizing and prioritizing numerous tasks effectively under time constraints.
• Bonus: Preferred experience includes bankruptcy, demonstrating familiarity with related filings and procedures.
