This is a critical part-time internship at Hattiesburg Water Plant, integral to supporting the Mayor’s Office within the City of Hattiesburg’s Administration Department. This role is designed to provide comprehensive administrative assistance, directly impacting the efficiency of municipal operations. As an Administrative Assistant, you will be responsible for a variety of routine duties, administrative tasks, and special projects, playing a vital role in facilitating extensive interaction with both city employees and the general public. What You’ll Actually Do
• Support Procurement: Systematically research and collect comprehensive information and accurate pricing details required for the requisition of various supplies or services, directly supporting departmental resource acquisition.
• Manage Records: Efficiently maintain and organize extensive records and critical files for various City departments, ensuring data integrity, accessibility, and compliance with administrative procedures.
• Handle Communications: Provide professional, courteous, and clear correspondence to both face-to-face visitors and callers, acting as a primary point of contact for the Mayor/Administration Department.
• Process Information: Accurately take and process messages and vital information, then effectively relay it to the general public and other City employees, ensuring timely and precise communication flow.
• Event Coordination: Actively assist in, coordinate, and participate in a diverse range of events or activities organized through the City of Hattiesburg, providing crucial operational support as needed.
The Must-Haves
• Background: This is an entry-level position. Candidates are required to possess a High School Diploma or G.E.D. equivalent.
• Experience: Applicants must demonstrate the ability to type a minimum of 45 words per minute.
• Skills: Required proficiencies include competency in Microsoft Excel and Microsoft Word. Candidates must exhibit good communication skills, both oral and written, along with the critical ability to maintain professional courtesy and composure under adverse pressure. Additionally, applicants are required to possess and maintain a valid Mississippi (MS) driver license.
