Administrative Assistant to Chief Investment Officer | JW Michaels & Co.

The Tone:

This Administrative Assistant role is vital for providing comprehensive, high-level support to the Co-Founder and Chief Investment Officer. The assistant will ensure the seamless management of complex schedules, travel, and confidential matters, directly contributing to the efficient operation and strategic success of the firm’s leadership, while upholding the highest standards of ethics and integrity within a collaborative environment.

What You’ll Actually Do
• Calendar Management: Manage a complex calendar and keep the Chief Investment Officer well informed of upcoming commitments and responsibilities.
• Travel Coordination: Arrange detailed, complex travel itineraries and agendas, and compile documents required for business trips.
• Compliance Adherence: Follow all internal policies and processes, including travel and expense reporting, and work with Compliance to obtain required approvals.
• Project Ownership: Exercise strong judgment to handle matters proactively and expeditiously, ensuring successful completion of projects under firm deadlines.
• Event Planning: Organize and facilitate team engagements, social activities, and outings.

The Must-Haves
• Background: Executive. A seasoned professional with a commitment to the highest ethical standards, possessing deep expertise in providing administrative support to senior executives within complex organizational structures, particularly those involving global stakeholders and confidential information.
• Experience: A minimum of 5 years of experience specifically supporting senior executives. This includes proven ability in a global organization, effectively managing the needs and interactions of global stakeholders across various time zones and cultural contexts.
• Skills: Exceptional organizational skills coupled with an ability to meticulously prioritize multiple tasks and demonstrate excellent attention to detail. Strong interpersonal skills for building internal relationships and excellent client service skills. Superior written and verbal communication skills, alongside a proactive approach to problem-solving with strong decision-making capabilities. Demonstrated ability to handle confidential information with utmost discretion. Proficiency in key office software including Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Zoom is essential.
