Customer Service Representative | UniColorado Heating & Cooling
The Tone:
This is a full-time, in-person role at UniColorado Heating & Cooling, located at the company’s physical office. This position is essential for ensuring smooth daily operations, organized scheduling, professional customer communication, and efficient administrative processes. • Mission: This person will manage customer communication, scheduling, and administrative workflows to support the daily operations of a growing HVAC company.
• Tech Stack: CRM systems, Google Workspace (Gmail, Google Calendar, Google Drive, Sheets), semi-automated systems
What You’ll Actually Do
• Customer Relations: Answer phone calls, respond to emails, and handle customer inquiries professionally.
• Operational Management: Manage scheduling, order entry, customer records, and day-to-day office operations.
• Data Accuracy: Perform accurate data entry and maintain organized records across various systems.
• System Utilization: Use CRM and office systems to track customers, jobs, rebates, warranties, and internal tasks.
• Administrative Support: Prepare and submit rebate paperwork, support warranty processing, customer follow-up, and general administrative workflows.
• Technical Communication: Learn HVAC terminology to communicate effectively with customers and technicians, while also resolving customer concerns calmly.
The Must-Haves
• Background: An experienced professional, as this is not an entry-level position, with 1 to 3 years of experience in office administration, customer service, operations, or a similar professional role.
• Experience: Demonstrated proficiency with CRM systems or similar customer management platforms, as well as Google Workspace including Gmail, Google Calendar, Google Drive, and Sheets.
• Skills: Strong computer skills, excellent written and verbal communication, keen attention to detail and high accuracy in data entry, and the ability to be organized, dependable, and manage multiple priorities in a fast-paced, in-person office environment.
• Bonus: A Bachelor’s degree; experience in HVAC, plumbing, construction, trades, or home services; prior experience with rebate applications, warranty processing, or permit paperwork; experience in a high-volume service office; or a strong technical aptitude.
