Recruiting Coordinator | Premier Talent Partners

The Tone:
This is a contract role through Premier Talent Partners for a new scientific institution, located in Palo Alto, CA. This institution conducts curiosity-driven basic science and technology development to understand and treat complex human diseases, founded on the belief that new institutional models will enable important research. This role is crucial for delivering a consistently warm and professional candidate experience, ensuring efficient and accurate coordination for the institution’s hiring efforts.

The TL;DR
• Role: Contract through Premier Talent Partners for a new scientific institution
• Type: Part-time, 32 hours per week (Mon/Tues/Thurs 8 hour days, Wed/Fri 4 hour days)
• Location: In-person, Palo Alto, CA
• Pay: $32.25–$35 hourly
• Mission: Owns the end-to-end interview scheduling process and champions candidate experience for a scientific institution focused on understanding and treating complex human diseases.
• Tech Stack: Google Calendar, Greenhouse ATS, Google Workspace, Gmail

What You’ll Actually Do
• Candidate Experience: Deliver a consistently warm and professional candidate experience across all virtual and in-person touchpoints.
• Interview Scheduling: Own the end-to-end process for scheduling interviews, including phone screens, virtual interviews, and on-site visits, utilizing Google Calendar and Greenhouse ATS.
• Cross-Functional Coordination: Partner closely with Recruiters, Executive Assistants, and various cross-functional teams to coordinate complex, multi-stakeholder scheduling requests.
• Investigator Support: Provide support to Core Investigators by assisting with interview scheduling for postdoctoral candidates as needed.
• Process Improvement: Maintain and update interview load dashboards, and champion candidate experience by identifying friction points and proposing actionable improvements.

The Must-Haves
• Background: Bachelor’s degree or equivalent experience in a recruiting support and/or coordination role.
• Experience: 1–2 years of experience in a recruiting support and/or coordination role, demonstrating strong proficiency in Google Workspace, particularly Calendar and Gmail.
• Skills: Exceptional attention to detail, accuracy, and follow-through; ability to manage competing priorities with composure and precision; comfort navigating ambiguity and working independently.
• Bonus: Familiarity with Greenhouse ATS or a similar applicant tracking system.
