HR Compliance Internship | Legacy Concierge

The Tone:
This is a internship at Legacy Concierge, located in La Jolla, CA. The company specializes in providing in-home non-medical home care services and private-pay concierge nursing services. This role is crucial for supporting the Human Resources and Compliance team by providing hands-on exposure to HR compliance, employee file maintenance, healthcare-related personnel documentation, and care staff compliance tracking. The intern will gain practical experience in employee compliance workflows, documentation management, and healthcare adjacent HR administration.

The TL;DR
• Role: Internship
• Type: Temporary, Part-time (3 months, Monday–Friday from 9:00 AM – 2:00 PM)
• Location: In-person, La Jolla, CA
• Pay: $17.75 hourly
• Team: Reports to the Compliance Manager within the HR team.
• Mission: To ensure comprehensive employee compliance by managing documentation and supporting HR administration within a home care environment.
• Tech Stack: EHR, HRIS, document management systems, Microsoft Excel

What You’ll Actually Do
• Document Collection & Verification: Conduct outreach to care staff employees to request and validate updated records, such as professional licenses, TB test results, CPR/BLS documentation, and training completion records.
• Compliance Tracking & Updates: Maintain and update internal compliance trackers to accurately reflect the status of all employee documentation, noting current, missing, pending, or expired items.
• Digital File Organization: Support the cleanup, organization, and systematic updating of employee files within the company’s EHR, HRIS, or document management systems, adhering to established naming standards.
• Reporting & Auditing Support: Assist in reviewing employee files for completeness, identifying missing compliance items, and helping prepare compliance status reports for HR team review and internal audits.
• Employee Communication: Send approved email or phone reminders to employees regarding outstanding compliance requirements, meticulously documenting all outreach attempts and employee responses in designated systems.

The Must-Haves
• Background: Current student, recent graduate, or an individual seeking entry-level exposure to HR compliance, with an interest in Human Resources, healthcare administration, business administration, or a related field.
• Experience: Entry-level experience is suitable, with a requirement for proficiency in Microsoft Excel for data entry and maintaining spreadsheets.
• Skills: Strong attention to detail and organizational capabilities; professional written and verbal communication skills, including comfort with phone calls and professional emails; the ability to handle confidential information with discretion; strong documentation and customer service skills; and the capacity to work independently while seeking clarification when needed.
