General Summary

Under the direct supervision of the Patient Access Manager, the Scheduling Associate plays a crucial role in facilitating outpatient procedures. This position involves efficiently scheduling appointments by accurately gathering essential demographic, financial, and insurance information from patients or their representatives.

Requirements

  • Education: High School diploma, GED, or equivalent is required. 1-2 years of college education is preferred.
  • Certifications:
    • Certified Healthcare Associate Certification (CHAA) preferred.
    • Coding certification preferred.
    • Epic certification is a significant plus.
  • Experience: 2-3 years of prior experience in Hospital, Medical Registration, or Billing is required, or equivalent medical schooling.
  • Skills & Knowledge:
    • Medical Terminology preferred.
    • Knowledge of CPT-4 and ICD-9/10 recommended.

Essential Functions and Responsibilities

  • Obtain complete and accurate patient demographic, financial, and insurance information.
  • Perform all scheduling functions proficiently within the Epic system.
  • Schedule all appointments meticulously in accordance with departmental schedules.
  • Validate all components of written orders as outlined in the established written order policy.
  • Collect patient co-pays, deductibles, and any outstanding balance accounts at the time of service.
  • Complete a financial screen for self-pay accounts to determine appropriate next steps.
  • Demonstrate flexibility in scheduling to meet the dynamic demands of the department.
  • Maintain or exceed current department goals for productivity and accuracy.
  • Complete Epic work queues daily to ensure timely processing and follow-up.
  • Complete accounts in AHIQA daily for accurate financial tracking.
  • Perform other duties as assigned by the Patient Access Manager.
