Front Office Assistant – Wound Care

Department: Wound Care
Status: Full-Time
Schedule: First Shift

Position Summary

The Front Office Assistant plays a crucial role in supporting the daily activities of an ambulatory/physician office within the Wound Care department. This position involves essential administrative tasks such as patient registration, managing telephone coverage, handling appointment scheduling, and processing patient referrals. The Front Office Assistant operates under the direct supervision of various leadership roles including the Manager Practice Operations, Medical Office Manager, Academic Program Manager, Academic Nurse Manager, and/or Practice Site Supervisor, ensuring efficient and organized office operations.

Responsibilities

Essential Functions

  • Schedules patient appointments according to practice-specific scheduling protocols and patient preferences, including obtaining required pre-certification and authorization for office visit(s) when necessary.
  • Obtains accurate and complete patient demographic and insurance information to ensure smooth registration and billing processes.
  • Processes all requests for medical records in strict adherence to Orlando Health and department-specific policies and procedures, maintaining patient confidentiality.
  • Adheres and assures compliance with all Orlando Health and OHPE (OHPG, OPN) policies, procedures, and value statements, fostering a professional and ethical environment.
  • Demonstrates competency in the use of office equipment and technology, and answers telephone calls appropriately, providing excellent communication and customer service.
  • Demonstrates a Commitment to Excellence standards and actively engages to improve the overall patient satisfaction experience.
  • Interacts with patients and families in a professional manner, exhibiting empathy, respect, and clear communication.
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA, and other federal, state, and local standards.
  • Maintains compliance with all Orlando Health policies and procedures, upholding the organization’s standards and guidelines.

Other Related Functions

  • Participates in Quality Assurance/Quality Indicator activities as assigned, contributing to continuous improvement initiatives.
  • Demonstrates awareness of legal issues, patient rights, and compliance with standards of regulatory and accrediting agencies.
  • Practices the efficient use of supplies, contributing to cost-effective operations.
  • Assists billing service as requested, supporting financial processes and accurate record-keeping.

Qualifications

Education/Training

  • High School graduate or equivalent.

Licensure/Certification

  • None required.

Experience

  • Six (6) months of experience in a clerical office, general business, and/or customer service setting.
