POSITION: Event Services Intern
DEPARTMENT: Event Services
REPORTS TO: Manager of Event Services
FLSA STATUS: Part-time Hourly, Non-Exempt, 12 weeks

Summary

We are seeking an Events Intern to join our dynamic Event Services Department. This role offers the opportunity to work closely with our experienced Events team, contributing to the delivery of exceptional customer service and the maintenance of high standards of excellence across various event types.

Essential Duties And Responsibilities

  • Assist in ensuring the proactive planning, clear communication, and flawless execution of a diverse range of events, including concerts, shows, and meetings.
  • Provide support to the Director of Events with day-to-day administrative tasks.
  • Aid in managing pre- and on-site registration processes, which includes tracking attendee data via a database, generating comprehensive reports, and producing necessary registration and event materials as required.
  • Collaborate with various vendors to coordinate event logistics and ensure all planning deadlines are met efficiently.
  • Organize and purchase necessary supplies for events as needed, ensuring all requirements are met.
  • Serve as an on-site coordinator for meetings and events, providing direct support and oversight as circumstances dictate.
  • Perform other duties as assigned to support the Event Services Department’s operations.

  • Currently working towards an undergraduate or graduate degree.
  • Possesses excellent attention to detail and superior organizational skills.
  • Demonstrates strong written and verbal communication capabilities.
  • Capable of working effectively both independently and as an integral part of a team.
  • Proactive and able to take initiative, while also recognizing when to seek direction and guidance.
  • Exhibits strong analytical skills, with the ability to efficiently organize and manage large volumes of information.
  • Proficient with Microsoft Word, Excel, and Outlook. Knowledge and experience with In-Design and Canva are preferred.
  • A self-starter who takes initiative and is highly reliable in all tasks.
  • Presents a polished and professional demeanor when interacting with members, prospective members, sponsors, and executive management.
  • Comfortable and adaptable in a fast-paced, ever-changing environment; highly flexible to meet evolving needs.

Working Conditions

  • The work environment may involve exposure to noise, heat, fluctuations in temperature, various kitchen elements, odors, and moisture.
  • May be required to work additional hours beyond standard schedules, dictated by workload demands and staffing needs.
  • Must be willing and available to work evenings, weekends, and holidays as events require.

Physical Demands

  • Requires moderate physical efforts, including standing for extended periods, carrying, bending, stretching, stooping, pulling, and pushing.
  • Capable of lifting weights up to 50 pounds.

  • While performing the duties of this job, the employee is regularly required to move around the facility and stand for long hours during events. The ability to talk and hear is also essential.
