Dental Front Office Receptionist | Marin Community Clinics

The Tone:
This is a full-time role at Marin Community Clinics, located in San Rafael, CA. Marin Community Clinics is a Federally Qualified Health Center (FQHC) offering integrated primary care, dental, behavioral, and specialty services to nearly 40,000 individuals annually. This role is vital for creating a welcoming and supportive environment for all clients, managing the front office operations, and ensuring a smooth patient experience from arrival to follow-up.

• Mission: Own the initial client experience by managing reception tasks, scheduling, and information flow to ensure all clients feel welcome and supported.

What You’ll Actually Do
• Client Welcome: Greet and assist all clients in the waiting room, help with appointments, and proactively notify clients of expected wait times, maintaining a professional presence.
• Appointment & Communication Management: Answer incoming calls, schedule and confirm appointments, process cancellations and reschedules, and route calls appropriately.
• Financial & Data Entry: Verify arrival times, collect patient payments including new patient private pay deposits, and accurately enter and confirm billing and demographic data in EPIC.
• EHR System Management: Schedule and maintain appointments in the Electronic Health Records System (EPIC), inform patients about payment obligations and clinic policies, and capture vital demographic information.
• Administrative Support: Prepare charts and superbills for appointments, manage daily superbill copies, inform staff about facility maintenance needs, and maintain a clean waiting room.

The Must-Haves
• Background: Minimum of a High School Diploma or Equivalent (GED). This is an early career position focused on client services.
• Experience: No specific years required. However, preference for previous dental front office or clerical experience is noted.
• Skills: Immediate and advanced knowledge of computers and the Windows environment, basic proficiency in Microsoft Office products, word processing skills at 45 wpm, excellent communication and interpersonal skills, strong customer service abilities, high initiative, attention to detail, and organizational skills.
• Bonus: Bilingual skills (any language) are a plus. Previous experience with the Electronic Health Records (EPIC) system is preferred.
