Administrative Assistant (Accounting Focus)

Role Description

VTE CONSULTING, LLC is actively seeking a dedicated and highly organized Administrative Assistant with an accounting focus to join our professional team in Hialeah, FL. This is a critical full-time, on-site position essential for maintaining the efficiency, professionalism, and smooth operation of our office. The successful candidate will be instrumental in managing daily administrative functions and providing essential support to ensure our business objectives are met.

Key Responsibilities:

  • Manage day-to-day clerical tasks, including meticulous scheduling of appointments, professional management of correspondence, and oversight of general office operations.
  • Provide comprehensive executive administrative support to management and various team members, ensuring their needs are met efficiently.
  • Handle all incoming phone calls with utmost professionalism and exceptional phone etiquette, accurately routing calls and taking messages as required.
  • Ensure seamless office processes are maintained, actively contributing to an organized, productive, and efficient work environment.
  • Utilize effective communication and strong organizational skills to support the overall smooth function and operational excellence of the business.

Qualifications:

  • Proven proficiency in Administrative Assistance, demonstrating exceptional organizational, scheduling, and time management capabilities.
  • Strong skills in providing Executive Administrative Support and performing various Clerical tasks, including accurate document preparation and meticulous record keeping.
  • Excellent Communication skills, both written and verbal, coupled with strong Professional Phone Etiquette for effective client and internal interactions.
  • Proficient computer skills, including a strong working knowledge of relevant office software (e.g., Microsoft Office Suite – Word, Excel, Outlook).
  • Demonstrated ability to prioritize tasks, manage time effectively, and handle multiple responsibilities concurrently in a dynamic, fast-paced environment.
  • A high degree of accuracy and attention to detail, particularly in tasks related to an accounting-focused environment.

Education:

  • A high school diploma or equivalent is required.
  • A college graduate, additional certifications, or an Associate’s Degree in Business Administration is highly preferred.
