Position Overview

The Student Intern – Library, Data, and Collections Assistant supports the Kansas Geological Survey (KGS) Library and Archive through library organization, data entry, records maintenance, and collections support. The intern will assist with organizing physical and digital materials, verifying and updating records in the databases, assigning keywords, linking related information, and helping maintain library and archive spaces.

This role is structured to support multiple projects and may assist other KGS divisions with data entry, records organization, scanning, and related tasks as needed.

Work is performed on-site and includes both desk-based and physical organizational tasks.

Job Description

45% – Library & Collections Organization

  • Assist with organizing library, archive, and workroom spaces.
  • Sort, shelve, label, and move books, reports, files, and other collection materials.
  • Help maintain order and accessibility of physical collections and work areas.
  • Support basic inventory and organizational projects related to library and archival materials.

35% – Data Entry & Bibliographic Records Maintenance

  • Enter, verify, and update records in the KGS online bibliography and other internal databases as assigned.
  • Assign keywords and link related records using established procedures.
  • Review records for completeness, consistency, and accuracy.
  • Assist with data cleanup and structured records work for library, collections, or other KGS projects.

15% – Scanning & Digital File Support

  • Assist with scanning documents and related file organization tasks.
  • Name, organize, and manage digital files according to established procedures.
  • Support digitization and access projects involving publications, records, and collections materials.

5% – Other Duties as Assigned

  • Provide project support for other KGS divisions as needed, particularly for data entry, records. organization, scanning, and similar structured tasks.
  • Complete other related duties to support division and agency priorities.

Required Qualifications

  • Experience requiring attention to detail and organizational skills, as evidenced by application materials.
  • Experience following written instructions and working independently after training, as evidenced by application materials.

Preferred Qualifications

  • Experience with data entry, spreadsheets, or record management, as evidenced by application materials.
  • Experience with proofreading, scanning, or file organization, as evidenced by application materials.
  • Interest in libraries, archives, research collections, or information management, as evidenced by application materials.

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

  • Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.
  • This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
  • Must be able to perform light physical work, including lifting, carrying, shelving, and moving materials.

Advertised Salary Range
